We are committed to maintaining industry-standard security protocols and ensuring full compliance with the Personal Data Protection Act (PDPA) of Tanzania (2022). Our infrastructure is designed to uphold the highest levels of confidentiality, integrity, and availability, ensuring that your commercial and personal information remains shielded from unauthorized access or disclosure.

1. Introduction & Overview
OpticEdge Africa provides a Software-as-a-Service (SaaS) inventory, point-of-sale (POS), and distribution management platform. This Privacy Policy outlines how personal and commercial data is collected, used, processed, stored, and protected when you rent, subscribe to, or access our portal and related operational modules.
By subscribing to and using the platform, you agree to the collection and use of information in accordance with this Privacy Policy and the Personal Data Protection Act, No. 11 of 2022. We process your data based on several legal grounds: (i) Contractual Necessity for the performance of our service agreement; (ii) Compliance with Legal Obligations under Tanzanian law; and (iii) Legitimate Interests in maintaining system security and optimizing user experience.
2. Roles of Parties (Data Controller vs. Data Processor)
To ensure legal compliance and clarity regarding data ownership:
- The Dealer (Subscriber): Acts as the Data Controller for all end-customer data, agent details, lead records, and transaction data entered into the system. You retain full ownership of your business data.
- OpticEdge Africa: Acts as the Data Processor. We host, maintain, process, and secure the software infrastructure to enable your sales, inventory, and payout operations.
3. Information We Collect
We collect data across three distinct categories:
A. Dealer Account & Billing Information
- Account Credentials: Business name, physical address, primary administrator name, phone number, and email address.
- Subscription & Payment Data: Billing cycle details, payment reference logs, subscription status, and monthly billing history.
B. Operational & Inventory Data (Inputted by Dealers)
- Customer Data: End-customer profiles, transaction histories, credit ledger balances, and contact details.
- Device & Inventory Data: IMEI/Serial numbers, device transfer logs, purchase prices, stock values, branch transfers, and supplier records.
- Sales & Financial Data: Cash sales, credit sales, passthrough sales, agent credit ledgers, daily/MTD/YTD revenue metrics, and profit margins.
- Agent & Personnel Data: Agent profiles, commission structures, disbursement wallet logs, payouts, and user access roles across branches.
C. System & Technical Logs
- Audit & System Logs: User activity timestamps, IP addresses, login attempts, branch transfers, and system performance telemetry.
4. How We Use Your Data
We process collected data strictly for operational, service fulfillment, and security purposes:
- Service Delivery: To power core dashboard functions including IMEI search, multi-branch inventory tracking, sales reporting, and commission payout calculations.
- Subscription Management: To track monthly subscription validity, send billing reminders, process recurring fees, and handle service renewals.
- Customer Support & System Optimization: To troubleshoot technical errors logged in the System Log, optimize database queries, and upgrade system features.
- Security & Fraud Prevention: To verify admin identities, track unauthorized access attempts, and protect system wallet transactions (e.g., Disbursement Wallet).
5. Monthly Subscription & Billing Privacy
A. Subscription Cycle & Billing Data
- Subscriptions are billed on a monthly recurring basis.
- Payment details processed via mobile money or electronic bank transfers are logged solely for reconciliation, proof of payment, and automated subscription renewal verification.
B. Data Retention Upon Subscription Non-Renewal or Expiry
- Grace Period: If a monthly subscription expires, your account enters a temporary grace period (typically 14 to 30 days), during which your data remains intact but core dashboard access may be restricted.
- Data Retrieval: You may request an export of your inventory, sales, and financial records in standard electronic format (e.g., CSV/Excel) during or immediately following the active subscription period.
- Data Deletion & Retention Policy: In accordance with Section 32 of the PDPA, we retain personal data only for as long as is necessary for the purposes for which it was collected. Financial and transaction records are retained for a minimum of seven (7) years to comply with Tanzanian tax and commercial record-keeping standards. Following this period, or upon a valid request for erasure, data is permanently purged or anonymized.
6. Data Isolation, Confidentiality & Security
A. Multi-Tenant Data Isolation
Each dealer’s store metrics—including stock values, profit margins (Mauzo ya Leo, Gross/Net Profit), receivables, and customer ledgers—are logically segregated. No other subscribed dealer can view or access your proprietary trade data.
B. Security Safeguards
To honor our 100% Data Protection Guarantee, we implement rigorous administrative, physical, and technical safeguards in alignment with the PDPA’s security requirements:
- End-to-end encryption for transmitted sensitive data (HTTPS/TLS).
- Strict Role-Based Access Controls (RBAC) separating Admin, Agent, and Branch User permissions.
- Routine database backups and system log auditing.
- Mandatory regular audits and vulnerability assessments to ensure continuous compliance and resilience.
7. Data Sharing & Third-Party Services
OpticEdge Africa does not sell, rent, or trade dealer transaction data, customer databases, or financial numbers to third-party marketers.
Data may only be shared under the following limited conditions:
- Third-Party Infrastructure Services: Cloud hosting providers, database backup environments, or SMS/Payment gateway integrators strictly acting under data processing agreements.
- Legal & Regulatory Obligations: When required by law, court orders, or law enforcement requests issued by competent statutory authorities.
8. Data Subject Rights (PDPA Compliance)
A. Dealer Obligations
Under the PDPA (2022), data subjects (your customers and staff) possess specific enforceable rights which you, as the Controller, and we, as the Processor, must uphold:
- You are responsible for ensuring that customer details and employee records uploaded into OpticEdge Africa were gathered lawfully and with necessary consents.
- Right to Access and Rectification: The right to obtain confirmation of data processing and to correct inaccurate or incomplete personal data.
- Right to Erasure (Right to be Forgotten): The right to request the deletion of personal data when it is no longer necessary or where consent is withdrawn.
- Right to Object and Restrict Processing: The right to object to processing based on legitimate interests or for direct marketing purposes.
B. Access and Correction Rights
- Dealers can update branch info, user profiles, inventory details, and store settings directly from the Admin Dashboard at any time.
- Requests for complete account closure or database purging must be submitted in writing by the primary account administrator.
9. Policy Updates & Contact Details
We may update this Privacy Policy from time to time to reflect system updates or legal adjustments. Subscribed dealers will be notified of material changes via portal banners, system logs, or registered administrator emails.
